Position: Administrative Assistant to the Executive Director

White House Retreat, a Catholic retreat center operated by the Jesuit fathers, seeks a full-time Administrative Assistant to support the Executive Director in the spiritual, pastoral, and administrative mission of the retreat house.

The successful candidate will serve as a trusted assistant to the Executive Director, providing organizational and administrative support in the areas of retreat operations, Board of Trustees relations, correspondence, meetings, sacramental coordination, and special events. This position requires a person who is highly organized, detail-oriented, discreet, and committed to providing gracious and professional service to staff, retreatants, clergy, Board members, and guests of White House Retreat.

Minimum qualifications include the following:

  • Experience in administrative support, office management, executive assistance, or a comparable position.

  • Strong organizational and time-management skills with the ability to manage multiple responsibilities simultaneously.

  • Excellent written and verbal communication skills.

  • Ability to handle confidential information with discretion and professionalism.

  • Proficiency with standard office technology and document preparation.

  • Ability to work independently while collaborating effectively with staff, volunteers, Board members, clergy, and retreatants.

  • Attention to detail and ability to follow established procedures while exercising sound judgment.

  • Appreciation for and commitment to the Catholic mission of White House Retreat.

  • Bachelor’s degree preferred.

Primary responsibilities include:

  • Managing scheduling, calendar coordination, correspondence, and administrative needs for the Executive Director.

  • Coordinating meetings of the Board of Trustees and committees, including agendas, materials, minutes, and follow-up.

  • Assisting with retreat-related communications and administrative support.

  • Supporting special events, hospitality, and other activities that advance the mission of White House Retreat.

  • Assisting the Executive Director with sacramental and pastoral coordination, including weddings, baptisms, and related correspondence.

This is a full-time position with benefits. The typical work schedule is approximately 40 hours per week, with flexibility based on the needs of White House Retreat and retreat operations.
